Walk through stage moves before the show

The award presenter reaches the lectern, and the recipient is on the steps with no trophy in sight.

The short answer

A stage movement walkthrough is a short, practical session where each group walks its own entries, positions, handovers and exits on the actual stage. It finds timing and sightline problems while they are cheap to fix.

Run it with the people who will do it on the day, in the order of the run-of-show. Write down how long each movement takes.

What the walkthrough tests

  • Entry and exit routes drawn on the stage entry and exit map.
  • Positions and marks for speakers, panels and award groups.
  • Handovers: microphones, trophies, certificates, clickers and notes.
  • How long each movement actually takes, so the run-of-show reflects it.
  • Whether people can see the cue they are meant to follow.

Who needs to be there

Invite the emcee, each speaker or panel, award presenters and a sample of recipients. Also invite the stage manager, the show caller and an operator from each technical supplier whose work is visible.

Where a VIP or a speaker cannot attend, a stand-in walks the route and the person is briefed in writing.

Run the session

  1. Brief everyone first on the map and the plan for the session. Keep it to ten minutes.
  2. Walk each movement slowly, then once at pace, with the show caller calling the cue.
  3. Time the second pass and write down every problem in the rehearsal issue log.
  4. Update the run-of-show and the map with what you learned.
  5. Book any re-walk in the rehearsal schedule so clashes show up.

Worked example · Fictional example

Awards segment at an industry dinner

Fictional organisation and figures, for illustration only.

Persatuan Pembekal Fiktif plans ten awards with a presenter and recipient each. The programme allows ninety seconds for each presentation.

In the walkthrough, the first pass takes about two minutes because recipients wait for a cue at the steps. The team moves the recipient to the wing before the winner is announced and adds an usher. The second pass takes about ninety seconds, and the run-of-show times are updated to match.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A simple programme with few stage movements.
  • The people involved are available together for a short walkthrough.
  • The stage supplier has the stage ready early.

Outside planning help earns its fee when

  • Many groups, awards or VIPs share the stage and time is tight.
  • People can only attend at different times, so several short sessions are needed.
  • You want one person to run the session, collect the issues and update the documents.

Want the walkthrough planned and run?

A conference project lead can plan the walkthrough with the stage supplier, brief the groups, time the movements and update the run-of-show and map afterwards. The venue and the qualified suppliers take any physical or safety questions. Share your brief on WhatsApp and we will reply with which level of support fits and what it would cover.

Questions organisers ask

How long should a walkthrough take?

It depends on the number of groups. Plan around two passes for each movement, and book extra time for awards or panels.

Is a walkthrough the same as a technical rehearsal?

No. A walkthrough tests people's movements. A technical rehearsal tests cues, assets and operators. They can run on the same day, in order.

What if a VIP cannot attend?

Use a stand-in for the movement, and send the VIP a short written description and the map.
