Conference planning and management across Malaysia
The conference is on the calendar, and programme, speakers, venue and registration must come together on one day.

The short answer
Conference planning and management covers the whole chain, from first brief to close: programme, speakers, registration, venue and production. We deliver the conference within a scope agreed in writing, and coordinate the specialists who handle production, AV, staging and registration.
You choose how much to hand over. Some clients keep the programme and speaker relationships and ask us to manage everything else. Others ask us to manage the full conference. The scope map below shows who holds what.
Who it is for
- Association secretariats and committees delivering an annual or member conference alongside normal work.
- Companies hosting a customer, partner or industry conference.
- Professional bodies running a conference with CPD sessions and registration records.
- Regional teams holding a conference in Malaysia without a local team.
- Organisers moving from a small event to a larger, multi-track conference.
Problems it solves
- The programme keeps changing and the run of show cannot settle.
- Speaker confirmations, biographies and slides arrive late and in pieces.
- Registration, payment and attendance records sit in separate lists.
- Venue, audio-visual and catering teams are working to different versions of the plan.
- Committee decisions take too long and suppliers are left waiting.
- The secretariat is carrying the conference on top of member and office work.

What is included
- A conference plan: scope, timeline, budget framework and responsibilities.
- Programme building support using the conference programme planner, including overrun and speaker clash checks.
- Supplier briefs, quotation comparison and coordination of the specialists your scope needs.
- Committee papers and meeting preparation, so decisions land on time.
- A decision log, action list and regular progress reports.
- On-site conference management with a named lead and run-of-show control.
- Close-out: handover documents, supplier reconciliation support and a short review.
What is not included
- Programme content and speaker selection, which remain with you.
- Accreditation, CPD points or professional body approvals. We coordinate the questions and your body decides.
- Legal, tax, insurance or safety certification advice.
- Promises on attendance, sponsorship or revenue. For sponsorship work see sponsorship and commercialisation.
- Work outside the written scope. Changes are agreed in writing first.
How an engagement works
- Share the conference brief: purpose, audience, date window, venue status and what is already decided.
- We agree the scope and the level of support in writing, using the scope map above.
- We build the plan, the programme structure and the budget framework.
- We brief and compare suppliers for your approval, then coordinate them through the build-up.
- We run rehearsals and a final run-of-show review with the teams.
- We manage the conference on site, then close out with handover documents and a short review.
What happens after you enquire
We read your message and reply with a few questions about the conference, so the scope rests on facts. If it suits, we agree a short conversation to confirm what you want to keep and what you want managed.
A written quotation follows once the scope is clear, stating what is included and what would change the fee. See fees and quotations.
Where we work
Planning and project management can be delivered remotely for conferences anywhere in Malaysia. On-site support and travel can be arranged anywhere in Malaysia when the scope needs it. Kuala Lumpur, Selangor and Seremban are where we work most.
Travel and accommodation are charged when they are part of the agreed scope. See areas and on-site arrangements.
To see who does what between a PCO, an event management company, a DMC and a venue team, read who does what; the business events glossary explains the terms.
Choose the level of support that fits
- Want the whole conference managed: full-service event management.
- Planning other corporate events: corporate event management.
- Need the plan and brief first: the Event Blueprint.
- Run the programme yourselves but need coordination: outsourced event project management.
- Need dedicated short-term capacity: a temporary event manager.
Use this yourself
Conference scope checklist: what to decide before you brief a provider
Use this to write down who holds each part of the conference. It works for any provider, including us.
- Conference purpose, audience and the date window.
- Programme: number of days, tracks, session types and who approves the final version.
- Speakers: who invites, who confirms, who collects biographies and slides.
- Registration: who sets ticket types and fees, and which records you need afterwards.
- Venue: shortlisted, chosen or still open, and who signs the contract.
- Production: AV, staging, recording, interpretation and streaming needs.
- Delegate experience: catering, accessibility questions, signage and breaks.
- Budget range, approvers and payment rules.
- Committee meetings the provider should prepare and attend.
- Reporting: format, frequency and recipients.
- Who is on site and who decides on the day.
- Handover: documents and open items after the conference.
Handle it in-house, or bring in help?
Your team can usually handle this when
- A one-day conference with a single track, a familiar venue and a small committee.
- A secretariat with protected time and an established supplier team.
- A programme that repeats last year's format.
Outside planning help earns its fee when
- A new, larger or multi-track conference, or a move to a new venue.
- Speaker, registration and venue work are running in parallel with no single owner.
- The committee is volunteer-based and cannot take on weekly coordination.
Planning a conference and want it managed?
Tell us about the conference and what you want to keep in-house. We reply with a few questions and what the scope would cover, agree it in writing and manage the rest, coordinating the specialists on your behalf.
Questions organisers ask
Can we keep the programme and speakers and hand over the rest?
Yes. Many conferences are run that way. The scope map shows the split, and the written scope records exactly what each side holds.
Do you provide the AV and staging yourselves?
Specialist subcontractors deliver AV, staging and similar production. We brief, schedule and coordinate them within the agreed scope, and you approve the appointments.
Can you support CPD or accredited sessions?
We can coordinate the logistics, such as attendance records and certificate handling. Accreditation and CPD decisions stay with your professional body.
How is this different from outsourced project management?
Outsourced event project management coordinates your team and suppliers while you run delivery. Conference management means we run the conference itself, with the specialists coordinated by us.
