Recurring event programme management

Your organisation runs events all year, and each one is planned from scratch by the same small team.

The short answer

Recurring programme management means we plan and manage an agreed calendar of events, such as seminars, forums, member meetings and annual conferences. We use one planning method, one set of documents and one set of supplier arrangements. Where an event needs production, audio-visual, staging, registration or logistics specialists, we subcontract and coordinate them.

The scope sets which events are covered, how many can run at once and how much we manage on each. Programme content and member relationships stay with you. For a single event, see full-service event management or outsourced project management.

Who it is for

  • Associations and professional bodies running seminars, forums and member meetings through the year.
  • Corporate teams with a regular calendar of town halls, partner events and internal conferences.
  • Secretariats where the same few people plan every event on top of their normal work.
  • Organisations that want consistent quality and cost control across editions.
  • Teams preparing for an annual flagship event plus smaller events between.

Problems it solves

  • Every event is planned from scratch, and lessons from the last edition are lost.
  • Several events overlap and the same people are stretched across them.
  • Supplier terms differ for each event, and prices are hard to compare.
  • Documents, checklists and timelines live in different formats.
  • Nobody sees the whole year in one view.

What is included

  • A programme calendar showing every event, its dates, owners and dependencies.
  • One planning method and one set of templates reused for each event.
  • Planning and management of each event within the agreed scope.
  • Supplier arrangements reviewed across the year, with specialists subcontracted and coordinated for each event as needed.
  • Workload planning, so overlapping events are staffed realistically.
  • A review after each event, with lessons carried into the next edition.
  • A year-end summary with recommendations for the following year.

What stays with you or is scoped separately

  • Programme content, speakers and member relationships stay with you.
  • Events added later join the calendar once the scope is changed in writing.
  • Legal, safety and licensing sign-offs stay with the qualified parties.
  • Supplier and venue costs are quoted and approved by you before any commitment.

How an engagement works

  1. Share the calendar, or the events you expect to run, with notes from past editions.
  2. Agree which events are covered, how much we manage on each and the reporting in writing.
  3. We build the programme calendar, templates and supplier plan for your approval.
  4. We plan and manage each event in turn, with specialists coordinated as the scope needs.
  5. After each event we hold a review, and close the year with a summary.

What happens after you enquire

We read your brief and reply with questions or a suggested scope. If it is a fit, we agree the scope in writing and send a quotation before any work begins.

If you would like to begin with one event, we can start there and widen the scope later.

What shapes the fee

A quotation is prepared from your brief once the scope is clear. It states the scope, the factors behind the fee and what would change it. See fees and quotations. The factors are:

  • Number of events in the calendar and their size.
  • How many events overlap at the same time.
  • How much of each event we manage, from planning support to full management.
  • Amount of on-site management agreed for each event.
  • Whether templates and records from past editions already exist.
  • Supplier costs, which are charged under their own quotations and sit outside our management fee.

Where we work

Planning and project management can be delivered remotely anywhere in Malaysia. On-site support and travel can be arranged anywhere in Malaysia when needed, subject to availability, project requirements, the agreed scope and costs.

We work most often in Kuala Lumpur, Selangor and Seremban. Travel and accommodation are charged when they are part of the agreed scope. See areas and on-site arrangements.

  5. Venue preference and supplier arrangements already in place.

  8. Lessons from the last edition that should shape this one.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • You run only one or two events a year and the team knows the routine.
  • Templates and supplier terms are already in place.
  • Events rarely overlap.

Outside planning help earns its fee when

  • You run events through the year and each starts from a blank page.
  • Events overlap and your team is stretched across them.
  • You want consistent quality and a view of the whole year.

Would you like help running the whole calendar?

Send the list of events you run in a year, with rough dates and attendance. We will reply with a suggested scope, which may start with one event or cover the whole programme.

Questions organisers ask

Can we start with one event?

Yes. A programme can start with one event, and the scope can widen once the method is working.

Do you provide the audio-visual and staging for each event?

We coordinate them. Specialists are subcontracted for each event as the scope needs, and you deal with us as the single point of contact.

Is it only for associations?

Corporate teams with a regular calendar of events can use it too.

Where does the first step usually begin?

With an Event Blueprint or a planning diagnostic to set the method, then management of each event.
