Outsourced event project management

The event is approved and suppliers are being chosen, and your team needs someone to coordinate it all.

The short answer

Outsourced event project management puts an experienced project lead in charge of coordination: the timeline, decisions, people, supplier handovers and progress reporting, within a scope agreed in writing. We lead the planning, coordinate your team and your suppliers, and oversee execution.

Programme, speakers, budget approval and stakeholder relationships stay with you. If you also want us to deliver parts of the event, we can add them to the scope and coordinate subcontracted specialists.

Who it is for

  • Association secretariats delivering an event alongside normal member work.
  • Committees and chairs who want to keep programme control while someone coordinates operations.
  • Corporate communications, marketing or HR teams coordinating internal stakeholders and existing suppliers.
  • Regional teams organising in Malaysia who need progress and responsibilities visible from another office.
  • Finance and procurement teams that want a single accountable point for coordination.

Problems it solves

  • Decisions sit with several committees or departments and dates slip.
  • Supplier handovers are slipping and nobody owns follow-up.
  • The team has normal work that will not stop for the event.
  • Progress is invisible to the people who need to approve things.
  • Several suppliers work in parallel and nobody sees how the pieces fit.

What is included

  • A coordination plan built on the agreed scope and timeline.
  • A decision log and action list, kept current and shared with your decision owners.
  • Progress reports in an agreed format and frequency.
  • Supplier coordination: briefs, deadlines, handovers and issue follow-up.
  • Preparation for committee meetings and approvals.
  • Oversight of delivery up to the event, with on-site presence as set out in the scope.
  • Handover documents at the close.

What stays with you

  • Decisions that belong to your organisation stay with you: programme, speakers, budget approval and signing contracts.
  • Specialist delivery is added to the scope when needed, and we appoint and coordinate the subcontracted specialists. For the whole event managed end to end, see full-service event management.
  • Work outside the written scope is added once the change is agreed in writing.

How an engagement works

  1. Share your brief and tell us where coordination is stretched.
  2. We agree scope, authority limits, reporting and on-site attendance in writing.
  3. We take over the plan, the decision log and supplier coordination from a defined start date.
  4. We run weekly coordination and report progress as agreed.
  5. We hand over the documents and open items at the close.

What happens after you enquire

We read your message and reply with a few questions, so the scope rests on facts. If it helps, we arrange a short conversation to confirm the scope and the authority limits.

A written quotation follows once the scope is clear. It states what is included and what could change the fee. See fees and quotations. You decide whether to go ahead.

What shapes the fee

The fee follows the agreed scope. A quotation names the factors behind it and what would change it. The factors are:

  • Duration of the engagement and the number of months to the event.
  • Number of suppliers and workstreams to coordinate.
  • Number of programme tracks and approximate attendance.
  • Amount of on-site attendance agreed in the scope.
  • Reporting frequency and the number of committee meetings supported.
  • Whether a planning pack already exists or has to be built first.

Where we work

Planning and project management can be delivered remotely for events anywhere in Malaysia. On-site support and travel can be arranged anywhere in Malaysia when needed, subject to availability, project requirements, agreed scope and costs. Kuala Lumpur, Selangor and Seremban are where we work most.

Travel and accommodation are charged when they are part of the agreed scope. See areas and on-site arrangements.

Scoping checklist: briefing a project lead

Use this to brief us or any project lead, so scope and authority are written down before work starts.

  • Event purpose, format, date window and area.
  • Decisions the lead may take alone, and those needing named approval.
  • Suppliers already appointed and who holds each contract.
  • Reporting: format, frequency and recipients.
  • On-site attendance: which days and which roles.
  • Committee meetings the lead supports.
  • Working hours and the client contact for day-to-day decisions.
  • What happens at handover: documents, files, open items.
  • How scope changes are agreed in writing.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • One person has protected time for the event and strong authority.
  • Few suppliers are involved and they know their scopes.
  • Decisions are made by a small group that meets often.

Outside planning help earns its fee when

  • Decisions sit with several committees or departments.
  • Supplier handovers are slipping and nobody owns follow-up.
  • Your team has normal work that will not stop for the event.

Need someone to coordinate the event?

If the plan is in place but actions, dates and supplier handovers are slipping, we can lead the coordination within a scope you approve. Tell us the event, the date window and where it is stretched.

Questions organisers ask

Do you sign contracts for us?

Contracts are signed by your organisation. We coordinate quotations and handovers, and authority limits are written into the scope.

Is on-site attendance included?

On-site attendance is agreed per brief and written in the scope, including which days and roles.

Can this follow an Event Blueprint?

Yes. A completed Event Blueprint is a natural starting scope for project management.

How does this differ from a temporary event manager?

We lead and coordinate a defined scope across people and suppliers. A temporary manager works inside your team as dedicated capacity, under your direction.
