Corporate town halls we plan and manage

Leadership wants to address everyone, and the session must work for the room and for people joining remotely.

The short answer

A town hall works when leaders know what they will say, employees can ask real questions, and everyone, including remote and shift-based staff, can take part. The follow-up matters as much as the session itself.

We manage corporate town halls across Malaysia. We usually work as project lead alongside your communications, HR and IT teams, and we can manage the full event with specialists subcontracted and coordinated by us when the agreed scope needs it.

Who this is for

  • Corporate communications teams preparing leadership messages for all staff.
  • HR and learning teams running quarterly or annual town halls.
  • Executive offices that need a clear run of show and a reliable question process.
  • Organisations with several sites, shifts or a hybrid workforce.

Problems we help solve

  • Leadership messages are approved late and slides keep changing.
  • Questions are collected in a hurry and the hard ones are skipped.
  • Remote or shift-based employees watch a poorer version of the room.
  • The technical set-up, venue and recording are owned by three different teams.
  • Commitments made on the day are forgotten once the session ends.

What a town hall needs

Begin with the purpose: what employees should understand or be able to do afterwards. The programme, speakers and technology follow from that. The corporate town hall planning guide walks through the format.

How an engagement works

  1. Tell us the purpose, audience size, sites, date window and the support you want.
  2. We agree the scope in writing, including what we manage, what is subcontracted and what stays with your teams.
  3. We build the timeline for messages, questions and approvals, and you confirm the owners.
  4. We coordinate venue, streaming, recording and speaker briefings against the run of show.
  5. We hold a technical check and a speaker run-through before the day.
  6. We manage the session as agreed, then help close the follow-up list.

Choosing the level of support

Most town halls suit outsourced event project management: we lead the coordination while your teams keep the messages and decisions. If you want the plan only, an Event Blueprint covers scope, timeline and responsibilities. If you want the whole event handled, see full-service event management. For short-term support inside your team, see temporary event manager support.

Where we work

Planning and project management can be delivered remotely anywhere in Malaysia. On-site support and travel can be arranged when needed, as agreed in the scope. We work most often in Kuala Lumpur, Selangor and Seremban. See areas and on-site arrangements.

Worked example · Fictional example

A fictional company plans its half-year town hall

Fictional organisation and figures, for illustration only.

Syarikat Fiktif Logistik has a head office team, two regional offices and drivers on shift patterns. At the last town hall, the questions were answered in a rush and the drivers watched a recording days later.

This time the communications team collects questions for a week, groups them by theme and asks leadership to decide which need a live answer. A second live session is scheduled for the shift teams, and a list of commitments with owners is sent within the week.

Use this yourself

Town hall checklist

Use this with your communications, HR and IT teams. Each line needs an owner and a date.

  • Purpose: what employees should understand or do afterwards.
  • Leadership messages, running order and the person who approves each.
  • Date for final slides and speaker notes.
  • Question process before and during the session, and who moderates.
  • Plan for questions that cannot be answered live.
  • Sites, shifts and languages to reach, with live and replay options.
  • Venue, audio-visual, streaming and recording needs, and the owner of each.
  • Technical check and speaker run-through dates.
  • Run of show with timings, polls and transitions.
  • Follow-up list: commitments, owners and dates.
  • How you will learn whether employees found the session useful.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The audience is small, in one place and used to the format.
  • One team owns messages, technology and follow-up.
  • Leaders approve content on time.

Outside planning help earns its fee when

  • Several sites, shifts or a hybrid audience need to be reached properly.
  • Venue, streaming and communications are owned by different teams.
  • Your team is stretched and needs someone coordinating the run-up and the day.

Want help running your town hall?

A project lead can hold the timeline, questions process, suppliers and speaker briefings together within a scope we agree in writing, while the messages stay with your leaders. Send us your checklist and the parts you have not decided yet, and we will reply with the level of support that fits and what it would cover.

Questions organisers ask

Do you write the leadership messages?

Messages belong to your leaders and communications team. We manage the timeline, gather inputs, track approvals and brief speakers on the run of show.

Can you support a hybrid town hall with several sites?

Yes. We plan the reach for each site and shift, and coordinate subcontracted streaming and audio-visual specialists within the agreed scope.

Who handles our internal IT and security rules?

Your IT team. We list the questions they need to answer and coordinate the suppliers around their requirements.

Do you work outside Kuala Lumpur?

Yes. Planning and project management can be done remotely anywhere in Malaysia, and on-site support can be arranged when the scope needs it.
