Event Blueprint: the plan before you commit
You need a clear plan, written down properly, before committing to venues and suppliers.

The short answer
The Event Blueprint is our event planning consultancy service. It turns your idea into a written plan: scope, a brief, requests for proposal, a timeline, a budget framework, checklists and a split of responsibilities. It is prepared by someone with professional event-management experience.
You can carry the plan out with your own team and suppliers, or ask us to take it forward through project management or full-service management. The blueprint becomes the scope either way.
Who it is for
- Associations, committees and corporate teams who will deliver the event themselves but have no written plan.
- Conference and event owners who must show finance or procurement a defined scope before spending is approved.
- Teams preparing a first edition, or taking over an event whose planning was never documented.
- Organisers comparing venue and supplier proposals who want every provider quoting against the same requirements.
Problems it solves
- Committees disagree about what the event is meant to do and who decides.
- Suppliers quote against different assumptions, so quotations cannot be compared.
- Finance will not release budget without a defined scope.
- The one person who knew the plan has left, and nothing was written down.
- Nobody can say what has to happen first, or by when.
What is included
- A written event scope: purpose, audience, format, programme shape, and what is in and out.
- A project brief that suppliers and committee members can work from.
- Requests for proposal and supplier requirements, so quotations compare on the same basis.
- A planning timeline with decision dates and dependencies.
- A budget framework showing the main cost areas and the assumptions behind them.
- Checklists and a split of responsibilities between your team, committee and suppliers.
- Handover documents so the plan survives staff changes. See the sample planning pack for the format.
What stays with you or is scoped separately
- Running the event is scoped separately, as project management or full-service management.
- Decisions that belong to your organisation, such as programme, speakers and budget approval, stay with you.
- Legal, safety, accessibility and permit questions go to the qualified party. The pack lists them as questions to ask.
Who handles what
| Area | You | We | Subcontracted specialists |
|---|---|---|---|
| Programme and speakers | Decide and approve | Record decisions and flag gaps | Not applicable |
| Budget approval | Set and approve | Structure the planning assumptions | Provide quotations |
| Scope, brief and timeline | Review and sign off | Prepare the documents | Give input on their own requirements |
| Supplier requirements and RFPs | Approve the final list | Draft requirements for each supplier type | Confirm what they can deliver |
| Carrying out the plan | Run it, or ask us to take it on | Only if added to the scope | Deliver specialist work |
How an engagement works
- Share a short brief, even if parts are undecided.
- We agree the blueprint scope and the review dates in writing.
- We work through drafts with your decision owners, one section at a time.
- You receive the finished pack and a handover walk-through.
- You decide whether to carry it out yourselves or ask us to take it forward.
What happens after you enquire
We read your message and reply with a few questions, so the scope rests on facts. If it helps, we arrange a short conversation to confirm what the blueprint should cover.
A written quotation follows once the scope is clear. It states what is included and what could change the fee. See fees and quotations. You decide whether to go ahead.
What shapes the fee
The fee follows the agreed scope. A quotation names the factors behind it and what would change it. The factors are:
- The size and number of programme elements, such as plenary only or several parallel tracks.
- The number of decision owners and review rounds.
- How much existing material can be reused.
- The number of supplier types needing written requirements.
- The timeline, including any compressed review period.
Where we work
Planning and project management can be delivered remotely for events anywhere in Malaysia. On-site support and travel can be arranged anywhere in Malaysia when needed, subject to availability, project requirements, agreed scope and costs. Kuala Lumpur, Selangor and Seremban are where we work most. The blueprint is mostly document-based, so it works well remotely.
Travel and accommodation are charged when they are part of the agreed scope. See areas and on-site arrangements.
Compare with other levels of support
- Want the whole event managed for you: full-service event management.
- Have the plan and need someone to coordinate: outsourced event project management.
- Need short-term dedicated hands: temporary event manager.

Use this yourself
Scoping checklist: what a good planning pack must contain
Use this to judge any planning pack, from us or another provider.
- Purpose, audience and format stated in a few lines.
- Scope with explicit inclusions and exclusions.
- Date window and dependencies shown on a timeline.
- Named decision owners for programme, budget, speakers and suppliers.
- Responsibility split for client, project lead and each supplier.
- Supplier requirements that can be attached to a request for proposal.
- A budget framework with its assumptions written down.
- A list of open questions, each with an owner and a decision date.
- Handover documents: contacts, decisions made, files and next steps.
Handle it in-house, or bring in help?
Your team can usually handle this when
- Your team has done this format before and only needs to refresh the documents.
- One person owns the plan and has time to write it.
- No procurement approval depends on a defined scope.
Outside planning help earns its fee when
- Several committees disagree about scope.
- Finance wants a defensible scope before approving spend.
- Suppliers keep quoting against different assumptions.
Want your plan written down before suppliers are chosen?
If the event idea is agreed but the scope, timeline and responsibilities are not on paper, an Event Blueprint turns them into documents your committee can approve. Send the brief you have, even if parts are undecided.
Questions organisers ask
Does the blueprint include running the event?
Not by default. It is a defined set of planning documents. If you want us to run the event, we scope that separately as project management or full-service management.
Can I use the blueprint to run a tender?
Yes. The supplier requirements are written so they can be attached to a request for proposal and quotations compared on the same basis.
Can the blueprint lead into project management?
Yes. The blueprint scope becomes the starting point for outsourced project management or full-service management.
Is a blueprint useful for a repeat event?
Yes, when earlier planning was never written down or the team has changed. It captures what a handover would normally need.
