Get online questions to the room moderator

Forty online questions arrive during a twenty-minute Q&A, and the room moderator can see none of them.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

The short answer

Question routing is a short path with named owners. Collect questions in one place per audience, have someone triage them, and hand a small set to the moderator. Agree before the session what happens to the questions not answered.

The room moderator is free to focus on the room, not the online chat. A remote moderator or producer does the triage and the room moderator then asks the questions that were selected.

Where questions come from

A hybrid session usually has three sources: hands in the room, a question tool or chat for online attendees, and cards or a link for the room. The tools depend on your platform supplier. Ask in writing what is included and how a moderator sees it.

Remote delegates need a real route in, not a chat channel nobody reads. See giving remote delegates a real route into questions for the principle and the moderation plan for the roles.

Rules to agree in advance

  • Ratio of room to online questions, and who may change it.
  • Whether anonymous questions are allowed and who sees names.
  • How sensitive, personal or commercial questions are handled, and who decides.
  • Time per question and per speaker.
  • Whether unanswered questions are answered later, by whom and where.

Handling the awkward ones

Some questions are repeated, off-topic or aimed at one organisation. Decide in advance who may merge or skip them and what the moderator says when they do.

If a question needs a specialist answer, such as legal or medical content, the moderator should not improvise. They say the qualified person will answer afterwards.

After the session

  1. Export or copy the full question list from the platform if the supplier confirms how.
  2. Assign unanswered questions to speakers or the secretariat with a date.
  3. Publish answers in the agreed place and tell online attendees where.
  4. Note what worked in the run-of-show review for the next event.

Worked example · Fictional example

A hybrid regulatory briefing with 60 minutes of programme

Fictional organisation and figures, illustrative only.

A fictional trade association holds a briefing with 80 people in the room and 150 online. The programme owner sets a ratio of one room question to one online question, with sensitive questions held for a written reply.

The remote moderator groups 41 online questions into six themes and sends five to the programme owner. The chair selects four. After the session, the remaining questions go to the speakers with a date, and the secretariat posts the answers a week later.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • One session with a clear chair and a small online audience.
  • The platform has a question tool the supplier has confirmed in writing.
  • Someone can triage online questions live.

Outside planning help earns its fee when

  • Large online audiences or several rooms and tracks.
  • The topic is regulated or sensitive and questions need review before being asked.
  • No one has been named to triage, and the chair is overloaded.

Need the routing agreed and tested?

A conference project lead can agree the question route with your programme owner, write the ratio and triage rules, brief the people involved and test the path with your supplier at rehearsal. The supplier keeps the platform tools and technical set-up. Share your brief on WhatsApp and we will reply with which level of support fits and what it would cover.

Questions organisers ask

How many questions can a session handle?

It depends on session length and speaker style. Plan for fewer than you receive, and decide what happens to the rest.

Should online questions be read verbatim?

The moderator may lightly edit for length and clarity, with the asker named only if the rules allow. Agree this in advance.

What if online questions flood in and the room goes quiet?

The ratio rule protects both. The programme owner can change it live if they have been named as the one who decides.
