Conference planning in Melaka City
Choosing a venue near the heritage area means delegates, cars and deliveries must all reach it.

Hi, I'd like to discuss support for an upcoming event. Help needed: Not decided Event type: Not decided Event area: Melaka City Date: Not decided Approx. attendees: Not decided Reference: EV-1124 / en Page: https://eventconsultant.com.my/areas/melaka/melaka-city/
The short answer
Add three access checks to your venue shortlist: how delegates reach the entrance, where cars park, and how deliveries get in. Ask every venue to answer in writing.
Whether the heritage zone limits any of these depends on the road and the date, so read the council's notices and ask the council.
What to verify for Melaka City
- Is the venue inside the area covered by Majlis Bandaraya Melaka Bersejarah (MBMB)? Ask the venue for its full address, then check MBMB's portal. The state portal lists four local authorities for Melaka.
- Which roads near the venue have closed before? MBMB's notices include a temporary closure of Jalan Hang Jebat (Jonker Walk) on 16 February 2026, closure notices for a Merdeka event on Persiaran Jalan Merdeka and for a Wesak procession, and an extension of the vehicle-free zone at Banda Hilir. Read the current notices for your dates.
- Does the vehicle-free zone touch the venue's approach? Ask the venue and MBMB. Ask rather than assume.
- Where do delegates' cars park? Ask the venue where its guests park and who confirms it, check on site, and ask the venue and the council for the parking rules.
- Where do cars and coaches stop to drop off delegates? Ask the venue and MBMB.
- How do deliveries and load-in reach the venue? Ask the venue for the entrance, the route and the allowed times in writing. Then ask MBMB whether the zone changes any of them.
- Does the event need a council permit? MBMB's portal has a business licensing section and event notices, but it does not describe a general event-permit procedure. Ask MBMB what applies.
- Who watches the notices up to event day? Name one person.
Rank the shortlist on access before price
Treat each access answer as a mandatory need in the venue shortlist matrix. A venue that cannot confirm drop-off, parking and deliveries stays off the recommended shortlist until it can.
Then compare price among the venues that qualify.
One task beyond the Melaka brief
The Melaka page covers the councils, the state holidays, peak visitor periods and the Ayer Keroh question. The one task here is testing each venue's access, parking and delivery arrangements.
To scope an event-day trip, use the event-day travel scope planner. For the national picture, see planning across Malaysia.
Worked example · Fictional example
A fictional association tests its venues
Fictional organisation and figures, for illustration only.
Persatuan Fiktif Penerbit Buku plans a one-day seminar for about 90 delegates. Its first shortlist compares rooms and prices only.
The secretary adds the access grid and reads MBMB's notices for the week. One venue gives its delivery route only by phone, so the secretary asks for it in writing before the venue stays on the list.

Handle it in-house, or bring in help?
Your team can usually handle this when
- The venue is easy to reach and has confirmed drop-off, parking and deliveries in writing.
- Your event needs no deliveries beyond a few boxes carried in by the team.
- A committee member can visit each venue and read the council's notices.
Outside planning help earns its fee when
- You need to move equipment, signage or exhibits into a venue near the heritage area.
- Delegates arrive by car and coach in large numbers and need a clear drop-off.
- Your committee is outside Melaka and cannot visit before the event.
Want someone to test the venues with you?
We can put these access questions to each venue and to MBMB, and keep the answers in one grid. We plan remotely and can arrange on-site support and travel to Melaka City when the scope needs it. If you would rather hand over the whole event, we can manage it end to end through full-service event management, or lead the planning with your team through event project management. Travel and accommodation are charged when part of the agreed scope. Send your venue shortlist and dates, and we will reply with the level of support that fits and what it would cover.
