The short answer
A venue handover pack is one document that tells the venue team what is arriving, who to call, how each room is set up and who can approve a change. Send it before the venue's team plans the event, and ask them to confirm it back in writing.
It has four parts: deliveries, contacts, room set-ups and approvals. Each part is a table the venue can check line by line.
Why the pack matters more at a distance
When you cannot walk the venue, anything not written down becomes a phone call on the day. The pack puts the common questions on paper before then.
It also protects the venue's team. They see in one place what they have agreed and what is still open.
The four parts of the pack
| Part | What to include | What the venue confirms |
|---|---|---|
| Deliveries | What arrives, when, from whom, how many boxes or pieces, who signs for them and where they are stored. | Receiving hours, storage space and who signs. Use the load-in and delivery-slot planner. |
| Contacts | Names and numbers for your side, the venue's event contact, the security and technical contacts, and key suppliers. | That each named person is the right one, and the out-of-hours contact. |
| Room set-ups | For every room: the layout, the number of seats, equipment, start and finish times, and who changes it. | That each room can be set as written, and any limits. |
| Approvals | Who can approve changes to the programme, the layout, the budget and access, and how they are recorded. | That the venue will take instructions only from the named approvers. |
Questions to ask the venue
Ask the venue each question and keep the answers with the pack.
- When can deliveries be received, and where are they stored until needed?
- Who accepts a delivery when your team is not there?
- Which house rules apply to signage, decorations, food or equipment?
- Which approvals does the venue require, and from whom, for any change to the layout?
- If the site spans more than one authority or parcel, which one applies to a permit? Ask the venue to confirm in writing.
Who writes it, and who signs it off
The person who knows the programme best writes the pack. The event owner reviews it, and the venue's event contact signs to confirm.
If nobody from your team will be at the venue before the event, add a named local contact. See appointing a local contact and remote site inspection.
Keeping the pack current
- Issue a numbered version with a date.
- Send each change as a new version, not as a message in a chat.
- Ask the venue to confirm receipt of every version.
- Bring the latest version, printed, to the event.
Worked example · Fictional example
A fictional association hands over to a venue in another state
Fictional organisation and figures, for illustration only.
Persatuan Fiktif Pengurus Aset holds a one-day conference at a hotel in a different state. Its secretary can make one site visit and wants the venue's team to have everything in writing.
She sends a four-part pack. Deliveries lists two courier boxes, with receiving hours still to be confirmed by the hotel. Contacts names herself, the hotel's event coordinator and the AV supplier. Room set-ups gives a plenary room and two breakout rooms, with start times. Approvals names two people. The hotel returns the pack with three corrections, and she issues version two.

Handle it in-house, or bring in help?
Your team can usually handle this when
- The venue has an event coordinator who confirms details in writing.
- The programme has few rooms and few deliveries.
- Someone from your team can visit the venue before the event.
Outside planning help earns its fee when
- Several rooms, deliveries and suppliers need to be coordinated at a venue you cannot visit often.
- Nobody on the committee has time to chase confirmations.
- You want one document that the venue, suppliers and committee all work from.
Would you like the pack prepared for you?
We can prepare the handover pack and keep it current with the venue, as part of an Event Blueprint or as part of managing the event itself. We plan remotely anywhere in Malaysia and can arrange on-site support where the scope needs it. Send the venue, the dates and the rooms you expect to use, and we will reply with the level of support that fits and what it would cover.
Questions organisers ask
When should the pack go to the venue?
As soon as the main details are known, and before the venue plans staffing and rooms. Update it as things change and ask for confirmation each time.
Does the venue have to sign it?
It is better if they do. A written confirmation from the venue's event contact shows what was agreed and by whom.
What if the venue uses its own forms?
Use both. Keep your pack as the single list, and attach the venue's forms as references.
