Local venue, supplier and approval evidence

Stated venue capacity versus your approved layout

A brochure number describes one setup, not necessarily the layout, exits and approvals your event uses.

The short answer

Ask the venue which layout the stated figure belongs to, then record, side by side, what is confirmed for your event: the setup, the exits and the approvals. Plan from the confirmed column only.

The venue and the competent authority confirm capacity and safe occupancy.

Stated capacity and approved layout are different things

Put your shortlisted venues into the venue shortlist matrix with stated and confirmed information kept in separate columns.

  • Stated: what the venue publishes or quotes, with the layout and date it refers to.
  • Confirmed setup: the plan for your programme, including stage, tables, registration and catering positions.
  • Confirmed exits: the exits the venue says are available in that setup, in writing.
  • Approvals: whatever the venue or authority says applies to your layout, and who holds the evidence.

What to verify before relying on a figure

  • Which layout does the stated figure refer to, and when was it last confirmed? Answered by the venue.
  • Does the confirmed layout for your event reduce, change or keep that figure, and who says so in writing? Answered by the venue and the competent authority.
  • Which exits and routes are counted for your layout? Answered by the venue and, where the venue refers the question, the competent authority such as the fire authority.
  • Which council covers the address for any building or occupancy question? MBPJ and MBS each list building-control services on their own portals for their areas, and the right one depends on the full address. Answered by the venue and the council.
  • What changes if the layout, stage or catering position moves after approval? Answered by the venue.

Where to confirm next

The safe number for any room comes from the venue and the competent authority. Approval ownership sits in checking building-management approval, and the visit that collects the layout evidence in running a venue site visit.

Worked example · Fictional example

A fictional member conference

Fictional organisation and figures, for illustration only.

A fictional professional body sees one figure on a venue sheet for a hall with no stage and no catering. Its own programme needs a stage and a buffet, so the comparison sheet shows "stated: theatre-style, no stage" against "confirmed for us: not yet".

The secretariat asks the venue for the confirmed layout and exits in writing before planning registration numbers.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A small, standard layout in a room the venue has already confirmed for the same use.
  • The venue gives written layout and exit confirmation promptly.

Outside planning help earns its fee when

  • Your programme needs a stage, catering or exhibition elements that change the layout.
  • The venue refers the question to an authority and the answers keep changing.
  • Registration numbers depend on a layout that is not yet confirmed.

Want the capacity evidence assembled?

A project lead can ask the venue the questions above, build the comparison sheet and keep registration planning tied to what is confirmed. Send the programme and the venue sheets you hold, and we will reply with the level of support that fits and what it would cover. Crowd-safety, structural and fire conclusions stay with the competent authority.

Questions organisers ask

What is a safe number for our room?

The venue and the competent authority confirm it for your layout.

Why might the brochure figure not apply?

It refers to one layout. Your stage, tables or catering can change the layout.

Who should hold the evidence?

The organiser keeps a copy of each written confirmation with its sender and date.

Is there a local office?

No. We plan remotely and arrange on-site support and travel as agreed in your scope.
