Rechecking local venue facts when repeating an event next year
The event returns to the same venue next year, and last year's notes are tempting to reuse unchanged.

Hi, I'd like to discuss support for an upcoming event. Help needed: Not decided Event type: Not decided Event area: Not decided Date: Not decided Approx. attendees: Not decided Reference: EV-1025 / en Page: https://eventconsultant.com.my/guides/local-event-planning/rechecking-local-venue-facts-when-repeating-an-event-next-year/
The short answer
Give every venue fact in last year's file a date read and a recheck-by date, then ask the venue to confirm each one in writing for the new date. Use the conference materials and translation-version checker to find where old facts also sit in attachments.
Mark a fact unconfirmed once it is past its recheck date. Quotation terms and named contacts expire fastest, so ask for them again.
Treat every fact as having a shelf life
Access arrangements, confirmed capacities, quotation terms and named contacts all depend on the venue's current situation. A venue can change its layout, policies, pricing or staff between events.
Record where each fact came from and when, so the register shows at a glance what needs rechecking.
What to verify when repeating an event
- Which access routes and entrances are still in use, and is anything changed or under works? Answered by the venue, in writing, and seen at a new site visit.
- What capacity and room layout does the venue confirm for the new date? Answered by the venue, in writing. Do not carry last year's figure.
- Which quotation terms still apply, and which expire? Answered by the venue, in a fresh written quotation.
- Are the named contacts still in post and still the right people? Answered by the venue, by asking each contact to confirm.
- Has the applicable authority or approval route changed for the address? Answered by the organiser from the portal: DBKL, MBPJ or MBS.
How the venue's area affects this decision
The recheck is the same in each area. Only the council differs, such as DBKL for Kuala Lumpur, MBPJ for Petaling Jaya, or MBS for Seremban and Nilai, whose site lists Bandar Nilai among its towns.
Where an address could sit under more than one authority, confirm the authority again rather than relying on last year's note.
Worked example · Fictional example
A fictional register refresh
Fictional organisation and figures, for illustration only.
A fictional institute repeats a one-day seminar. Last year's file holds 14 venue facts. The register marks three as still unexpired and eleven as to be rechecked, including the quotation terms and two named contacts.
The venue confirms nine in writing and two are updated.

One row per venue fact. A fact with no recheck date or past its date is unconfirmed.
| Venue fact (access, capacity, quotation, contact) | Source and date read | Recheck-by date | Reconfirmed for new date (yes, no) | New value if changed | Owner |

Handle it in-house, or bring in help?
Your team can usually handle this when
- Same venue, same contacts and a short gap, with the venue confirming in writing.
- A simple event where few venue facts matter.
Outside planning help earns its fee when
- The venue has changed its layout, pricing or staff.
- Last year's file mixes decisions and venue facts.
- Quotation or capacity figures are being reused without confirmation.
Want the venue facts rechecked before you repeat the event?
A planning diagnostic can build the register from last year's file, list what must be reconfirmed and who answers each item. Send last year's file and the new date, and we will reply with the level of support that fits and what it would cover. The venue confirms the facts in writing.
Questions organisers ask
Can I reuse last year's capacity figure?
Only if the venue confirms it in writing for the new date.
Which facts expire fastest?
Quotation terms and named contacts.
What if the venue does not reply?
Mark the fact unconfirmed and do not publish it.
Is there a local office?
No. We plan remotely and arrange on-site support and travel as agreed in your scope.
