Choosing which events need the project lead physically on site

Events overlap in three areas, and the committee must decide which need the project lead in the room.

The short answer

List the tasks each event needs on the day, mark which must be done in person, and enter the gap against the people you have in the event capacity gap estimator. Only tasks that need a decision-maker at the venue justify the project lead's presence.

Availability is a separate column, agreed in writing for each event.

Start from tasks, not from events

An event with a simple run sheet and a capable venue contact may need a project lead by phone only. An event with a late-changing programme, many suppliers or a first-time venue may need one in person at set times.

Decide presence by task and time window, such as arrival, a handover or a cut-over, not for the whole day by default.

What to verify before assigning on-site cover

  • Which tasks on the run sheet need a decision-maker physically present? Answered by the organiser, task by task.
  • Who else can hold each task, such as a committee member or a venue coordinator, and have they accepted it in writing? Answered by the committee and the venue.
  • On which dates do events overlap or sit close together? Answered by the committee, from its own calendar. Travel time between venues is not assumed; ask the project lead what is feasible.
  • What does the written scope say about on-site attendance and remote support? Answered by the provider, in the scope.
  • Which venue's rules apply for access and contractors? Answered by each venue. DBKL, MBPJ and MBS publish their own portals for local authority matters.

What is different about the three areas

The decision turns on the event, not the area. Only the authority differs: a Kuala Lumpur venue starts at DBKL, a Petaling Jaya venue at MBPJ, and Seremban or Nilai at MBS, whose site lists Bandar Nilai among its towns.

Events in different areas on the same date cannot share one person in the room. Plan a named deputy for the second event.

Worked example · Fictional example

A fictional two-event week

Fictional organisation and figures, for illustration only.

A fictional professional body holds a seminar on Tuesday and a forum on Thursday. Nine tasks are listed for each; for the forum, four need a decision-maker present during arrival and the supplier handover.

The committee schedules in-person cover for those windows and phone cover for the rest. For the seminar, a committee member holds the in-person tasks.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A single event with a simple run sheet and a venue contact who can act.
  • Events far enough apart on the calendar for the same person to attend each.

Outside planning help earns its fee when

  • Events overlap or sit close together and cannot share one person.
  • Programme changes late and decisions are needed in the room.
  • The committee cannot tell which tasks truly need an in-person decision-maker.

Want the presence question settled for your calendar?

A planning diagnostic can walk through each event's tasks, mark the ones that need someone in the room and show where cover is missing. Send the events, dates and run sheets, and we will reply with the level of support that fits and what it would cover. You receive findings and a prioritised action list.

Questions organisers ask

Will the project lead attend every event?

Presence is agreed in writing for each brief.

Can one person cover two events on the same date?

Not in the room. Plan a named deputy for the second.

Is remote support enough for some events?

Often yes, for events with simple run sheets. The task list decides.

Is there a local office?

No. We plan remotely and arrange on-site support and travel as agreed in your scope.
