Hi, I'd like to discuss support for an upcoming event. Help needed: Not decided Event type: Not decided Event area: Not decided Date: Not decided Approx. attendees: Not decided Reference: EV-1024 / en Page: https://eventconsultant.com.my/guides/local-event-planning/checking-date-specific-road-or-access-disruptions-before-sending-invitations/
The short answer
Record each check as a dated entry: which operator or authority you read, what it said and when. Add it to the venue site-visit evidence log, and name one person who updates invitations if an entry changes.
Publish a closure or diversion only when an official source states it for your date, and add the date you read it. Otherwise ask attendees to check the operator before travelling.
Check the operators for the date, then recheck
Highways are run by named operators and overseen by the Malaysian Highway Authority, and both publish traffic information. City roads and venue access follow the council that applies to the address, and the venue itself knows about its own entrances and any works.
Changes can appear close to the date, so one early check is not enough. Plan a recheck shortly before invitations go out and another close to the event.
What to verify before sending invitations
- Which highway operator or authority covers the main approach roads? Answered by the organiser, from the operator's official page, and logged with the date read.
- Does the venue know of works, closures or restricted access on the date? Answered by the venue, in writing.
- Does the council for the venue's address publish notices for the date? Answered by the organiser, from the portal for that address: DBKL, MBPJ or MBS.
- Do public transport operators publish any service change for the date? Answered by the organiser, from each operator's official page, or noted as not opened if the page would not load.
- Who updates the invitation if an entry changes, and by when? Answered by the committee, as one named owner.
What is different about the areas
Different authorities and operators apply by address. A Kuala Lumpur address starts with DBKL, a Petaling Jaya address with MBPJ, and a Seremban or Nilai address with MBS, whose site lists Bandar Nilai among its towns. Highway operators and the highway authority cover roads that cross these areas.
Log each closure by address and date, and do not carry one area's notice over to another.
Worked example · Fictional example
A fictional invitation check
Fictional organisation and figures, for illustration only.
A fictional professional body prepares invitations for a seminar. The log has three entries: the highway operator page, the venue's written answer and the council notice page, each with the day it was read.
One entry changes the week before. The named owner updates the invitation and records the change.

Handle it in-house, or bring in help?
Your team can usually handle this when
- A venue with simple access and no recent works, checked against official sources.
- A small event where attendees know the location well.
Outside planning help earns its fee when
- Approach roads cross several authorities and operators.
- The event is large enough that a wrong closure message would reach many people.
- Nobody owns the job of updating invitations after a change.
Want the checks logged and owned before invitations go out?
A planning diagnostic can set up the dated log for your venue and date, assign the update owner and report what it finds. Send the venue address and the event date, and we will reply with the level of support that fits and what it would cover. The road authority confirms traffic and closures for your date.
Questions organisers ask
Can I publish a closure I read about last month?
Not without rechecking the official source and dating it.
Will this predict traffic?
No. The log records what official sources say for your date.
What if a page will not open?
Log that it could not be opened and ask the venue or operator directly.
Is there a local office?
No. We plan remotely and arrange on-site support and travel as agreed in your scope.
