Sandakan: a venue shortlist and the supplier questions behind it

Sandakan may not offer what a bigger city does, so check each venue and supplier before you commit.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

The short answer

Start the Sandakan shortlist with questions, not names. The Sabah Convention Bureau's venue page lists no Sandakan venue, so you will build the list yourself from enquiries.

Use the venue shortlist matrix to score what each venue confirms in writing. Treat anything unconfirmed as open.

Why the shortlist starts with questions

In a large city you can compare venues that publish their halls and services. Here the published sources are thin, so the shortlist depends on what venues and suppliers tell you.

Ask the same questions of every venue. That keeps the comparison fair and the answers easy to file.

What to verify for Sandakan

  • Which Sandakan venues can host a conference? Ask the Sabah Convention Bureau and Majlis Perbandaran Sandakan (MPS). The bureau's venue page names none in Sandakan.
  • Can each venue confirm hall size and layout in writing? Ask the venue for its capacity in each layout.
  • Which audio-visual, interpretation and catering suppliers are available on your dates? Ask each venue and ask suppliers directly. A supplier may not travel from another city.
  • Does the venue allow outside suppliers, and under what conditions? Ask the venue in writing.
  • Does your event need a licence or permit? Ask MPS. Its portal lists a licence and permit department but no procedure for events, so the answer must come from the council.
  • Who operates the airport, what are its hours, and which flights can your delegates take? Ask the airport operator and the airlines for your dates.
  • Where will out-of-town delegates stay, and can the venue or the hotel coordinate rooms? Ask the hotels directly.
  • Which dates fall on the Sabah weekend or a public holiday in Sabah or a delegate's home state? Use the host-city date checker, then confirm with the host.
  • What is the fallback if the chosen venue or a key supplier cannot deliver? Agree it before you sign.

What is different about Sandakan

Kota Kinabalu has a convention centre and a bureau listing of several venues. For that city, see Kota Kinabalu. Sandakan has neither in the published sources.

So the difference is the amount of checking. Plan more enquiries and give suppliers time to confirm, instead of relying on a published list.

How to build the shortlist

  1. Write your needs: delegate numbers, rooms, sessions, audio-visual needs and the dates.
  2. Ask the bureau and MPS for venues that could host a conference.
  3. Send the same question list to every venue.
  4. Ask for each answer in writing, with a date.
  5. Score the answers in the matrix and mark unconfirmed items.
  6. Ask suppliers to confirm for your dates before you choose.

Coverage and travel

Planning support covers Malaysia, including Sandakan. Planning can be done remotely, and on-site support and travel can be arranged when the scope needs it. We work most in Kuala Lumpur, Selangor and Seremban.

Travel and accommodation are charged when they are part of the agreed scope. For the wider picture, see planning across Malaysia and Sabah.

Worked example · Fictional example

A fictional association builds a Sandakan shortlist

Fictional organisation and figures, for illustration only.

The Persatuan Fiktif Perancang Pendidikan wants a one-day seminar in Sandakan for about 60 delegates. The venue page shows no Sandakan venue, so the committee asks the bureau and the council for suggestions.

It sends one question list to four venues. Two reply in writing with hall details, one replies without detail, and one does not reply. The committee shortlists the two that answered, and asks both about audio-visual support.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • You know a venue in Sandakan and its supplier.
  • The programme is short and needs few suppliers.
  • One person can make the calls and file the answers.

Outside planning help earns its fee when

  • Few venues can be found and nobody has time to chase replies.
  • The programme needs interpretation, audio-visual support or other suppliers that may not be nearby.
  • The committee is far from Sandakan and wants one person to hold the shortlist.

Would you like someone to run the enquiries?

A conference project lead can send the question list to venues and suppliers, collect the answers in one matrix and keep the comparison in one place. We can also manage the whole event and coordinate the specialists it needs, where that suits your scope. Planning can be done remotely, and on-site support and travel to Sandakan can be arranged when the scope needs it. Travel and accommodation are charged when part of the agreed scope. Send your dates, delegate numbers and what the programme needs, and we will reply with the level of support that fits and what it would cover.

Questions organisers ask

Which venues in Sandakan can host a conference?

The Sabah Convention Bureau's venue page lists none in Sandakan, so ask the bureau and Majlis Perbandaran Sandakan.

Will suppliers be available in Sandakan?

Ask each supplier for your dates, because they may not travel from another city.

Do I need a permit for a public-facing event?

Ask Majlis Perbandaran Sandakan. Its portal lists a licence and permit department without event detail.

Is there an office in Sandakan?

No. We plan remotely and arrange on-site support and travel as agreed in your scope.
