Shortlisting venues in George Town for a conference

A good room is only useful if delegates and equipment can reach it, especially in a heritage city.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

The short answer

Shortlist George Town venues on three tests, not on the room alone. Can delegates reach the door? Can equipment be loaded in? Are there rooms for delegates nearby?

Ask every venue the same questions and get the answers in writing. The worksheet below keeps them side by side. Whether to choose the island or the mainland is a different decision, covered on the Penang page.

What to verify for George Town

  • Which council covers the address? The Majlis Bandaraya Pulau Pinang (MBPP) site lists licensing, hall booking and a heritage conservation department, but its page does not state its coverage area. Ask the venue for its full address, then confirm with MBPP.
  • Do heritage rules affect your event? The Penang state portal links to George Town World Heritage Incorporated (GTWHI) under tourism information. Ask MBPP and GTWHI whether any rules apply to your signage, vehicles or set-up at the address.
  • How do vehicles and equipment reach the entrance? Ask the venue for loading access and hours in writing. Do not work it out from a map.
  • Which entrance do delegates use, and is the route step-free? Ask the venue to state it, then walk it yourself.
  • Where will delegates stay? Ask hotels directly for rooms on your dates, then walk the route from each hotel to the venue.
  • What can the state business-events bureau do for you? The Penang Convention & Exhibition Bureau (PCEB) is based in George Town and has a request-for-proposal page. Ask which venues it supports and what it offers an association.
  • Does a state holiday fall on your dates? The 2026 national schedule names a World Heritage anniversary as a state holiday, but the schedule does not show which states observe it. Ask the Penang state government, then test your dates with the host-city date checker.

Heritage rules are part of the shortlist

The heritage setting matters here. Give access and loading answers their own line, and ask the heritage conservation department and GTWHI about rules.

For the island-or-mainland choice see Penang. For delegates landing at the airport or crossing from the mainland see Bayan Lepas and Batu Kawan. For the national picture see planning across Malaysia.

Worked example · Fictional example

A fictional association shortlists three venues

Fictional organisation and figures, for illustration only.

Persatuan Fiktif Arkitek Warisan plans a two-day conference for about 120 delegates. It shortlists three George Town venues and sends each the same four questions.

Two venues answer in writing. The third says loading must follow set hours, which clashes with the committee's set-up day. The committee drops it and visits the other two before it decides.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The venue is already chosen and its access and loading are clear in writing.
  • A committee member lives in Penang and can visit before the event.
  • Your event is small and needs little equipment.

Outside planning help earns its fee when

  • You are comparing several venues and the answers arrive in different formats.
  • Your committee is outside Penang and cannot visit before the event.
  • Nobody owns the list of open questions.

Want someone to run the shortlist with you?

We can send the venue questions, chase the answers and keep the answers in one place, or manage the event itself with the specialists it needs, within the scope we agree. Planning can be done remotely, and we can arrange on-site support and travel to George Town when the scope needs it. Travel and accommodation are charged when part of the agreed scope. Send your venue list and dates, and we will reply with the level of support that fits and what it would cover.

Ask MBPP and GTWHI, and confirm any rule with the council.

What are the loading hours and parking rules?

Is there a bureau that supports business events in Penang?
