The short answer
Compare the two models on the same lines: venue, hotel rooms and meals, each with its verified address and written inclusions. Total the integrated quotation in one model and the separate quotations in another, then compare the totals and the conditions.
The comparison is complete only when every address is verified and every inclusion is in writing.
Two ways to buy the same event
An integrated arrangement places venue, rooms and meals under one quotation and one contact. A separate arrangement uses different suppliers, possibly at different addresses.
Neither is better in principle. The right choice depends on the written terms and on what the delegates must do between sessions.
What to verify for Bandar Sunway
- Which local authority covers each address? Majlis Bandaraya Subang Jaya (MBSJ) and Majlis Bandaraya Petaling Jaya (MBPJ) are both Selangor city councils. Ask each supplier for a full address and confirm with the council.
- Are the venue, hotel and meal suppliers at one address or several? Ask each for its full address, and list each address separately.
- What does each quotation include as a written line: room hire, equipment, refreshments, meals, service charges? Ask for each line, not a package name.
- What happens to the integrated price if you drop one component, for example meals? Ask the supplier to quote the alternatives.
- What movement is needed between separate addresses, and who arranges it? Ask each supplier, and plan it as a separate item.
- What are the cancellation and numbers-confirmation terms in each model? Ask for the terms in writing.

A fictional institute compares two models
Fictional organisation and figures, for illustration only.
A fictional institute of planners expects about 120 delegates over two days. Supplier X offers an integrated quotation. Suppliers Y and Z quote the venue and the hotel separately, with a meal quote added later.
The comparison model shows the integrated quotation excludes service charges and the separate ones exclude meals. After requotes on the same lines, the committee can compare totals.
